2. Fees Policy

2.1 Fee StructureFees are charged per term.The first term’s fees and annual registration fee are payable at the time of enrolment.Thereafter, invoices are issued at the commencement of each term to the primary account holder.Students commencing mid-term will be charged only for remaining classes.2.2 GSTAll fees are inclusive of GST, which will be itemised on invoices.2.3 Payment TermsPayment is required by the due date stated on the invoice.Late fees may apply to overdue accounts.2.4 Government VouchersActive Kids and Creative Kids vouchers must be submitted prior to the statement due date to be processed against that term's fees.Government vouchers are non-refundable, non-transferable and cannot be redeemed for cash.2.5 Financial HardshipIf you are experiencing difficulty meeting payment deadlines, please contact management by emailing info@glmdancestudio.com prior to the due date to discuss arrangements.2.6 Absences and CancellationsClass cancellation and enrolment withdrawal policies are outlined in Section 3: Withdrawal & Cancellations.Policies regarding student absences are outlined in 4.4: Missed Classes.2.7 Payment Processing FeesSurcharges apply to Customer Portal payments and are set and collected directly by the payment facilitator (Worldpay for Platforms), not GLM Dance Studio. 3. Withdrawal & Cancellations Policy

3.1 Class WithdrawalAs enrolment at GLM Dance Studio is annual and continues from term to term, students may withdraw from classes at any time during the year by providing a minimum of two weeks' written notice via email to info@glmdancestudio.com.Two weeks' notice is required regardless of whether withdrawal occurs during a term or between terms. Fees remain payable during the notice period.Fees already paid are generally non-refundable and non-transferable. However, in cases of injury or other extenuating circumstances, families/students may contact management to discuss their situation. Any refund or credit requests will be considered at management’s discretion.3.2 Studio-Initiated Class CancellationsIn the unlikely event that GLM Dance Studio cancels a class:A make-up lesson may be arranged, orA credit will be applied to the student’s account.3.3 Extreme Heat PolicyIf the internal studio temperature reaches 40°C at the start of the afternoon session, all classes that afternoon will be cancelled.3.4 Serious IncidentsIf a serious injury or incident occurs during class:The class may be stopped immediately.Parents/guardians will be contacted if early collection is required.Where necessary, the teacher will remain with students until the scheduled class finishing time.

4. Attendance & Supervision Policy

4.1 Supervision & Duty of CareGLM will take all reasonable steps to ensure students are appropriately supervised during classes and studio activities.GLM Dance Studio provides supervision during scheduled class times and activities only. Parents/carers remain responsible for students before class commences and after class concludes.Students must not leave the studio premises during class times without the knowledge and permission of both their parent/carer and GLM staff.Students should not be left unsupervised at the studio outside of their class time unless prior arrangements have been made. This includes supervision in common areas such as the car park, stairwell, and surrounding premises.4.2 Arrival & CollectionStudents should arrive no more than 5 minutes before their scheduled class time unless prior arrangements have been made with the studio.Parents/carers are encouraged to drop off and collect students from the studio foyer.Students should be collected promptly at the conclusion of class.If collection will be delayed, parents/carers should notify the studio via email as soon as possible: info@glmdancestudio.com. If a student has not been collected at the conclusion of class, GLM staff will remain with the student in a visible area of the studio while attempting to contact the parent/carer and/or nominated emergency contact on the student’s Customer Portal profile.Parents/carers are responsible for ensuring emergency contact details remain current and accurate (see 1.6: Student Information).4.3 PunctualityStudents are expected to arrive on time and ready for class.If a student is consistently late, a parent/guardian may be contacted.4.4 Missed ClassesNo refunds or credits are provided for missed lessons.Credits may be considered for extended absences of two or more consecutive weeks due to injury, illness, or travel.Requests must be submitted to management via email with supporting documentation: info@glmdancestudio.com.

6. Health & Safety Policy

6.1 Studio CommitmentGLM Dance Studio is committed to providing a safe, inclusive and child-safe environment for all students, staff and visitors.6.2 Studio SafetyThe studio space, flooring, and equipment are maintained to promote safe dance practices. Staff are responsible for identifying and addressing any unsafe conditions, procedures, equipment, or hazards.Students must wear the correct uniform and appropriate footwear for their class at all times.6.3 Student Health InformationParents/guardians must inform GLM Dance Studio of any allergies, medical conditions, injuries, or illnesses that may affect a student’s participation in class. Likewise, adult students must inform GLM Dance Studio of any allergies, medical conditions, injuries, or illnesses that may affect their participation in class.This information must be included on the student’s Customer Portal profile and updated via email if circumstances change during the year.6.4 Staff QualificationsAll GLM teaching staff hold:A valid First Aid CertificateCurrent CPR trainingA verified Working With Children Check6.5 SupervisionGLM Dance Studio provides supervision during scheduled class times and activities only. See Section 4: Attendance & Supervision Policy. 6.6 Injury & First AidIn the event of an injury, GLM staff will administer appropriate first aid. Physical contact may be required. If further medical assistance is required, emergency services may be contacted.Any associated ambulance or medical costs are the responsibility of the student or parent/guardian.Parents/guardians will be contacted as soon as possible. If the primary contact cannot be reached, the nominated emergency contact will be contacted.Injuries that occur on the premises will be recorded on an Incident Report Form.6.7 Physical ContactDue to the nature of dance training and technique correction, appropriate physical contact between teachers and students is often required during classes.6.8 Child ProtectionAll staff are expected to maintain professional boundaries with students at all times. Any concerns relating to child safety or wellbeing will be managed in accordance with relevant legislation and reporting obligations. See Section 7: Child Safe Policy and Staff Code of Conduct. 6.9 Emergency Evacuation & EquipmentAn emergency evacuation map is displayed on the premises. Fire safety equipment, including a fire extinguisher and smoke alarm, is installed on site.Appropriate emergency procedures exist and GLM staff understand the procedures relevant to their location.

9. Emergency Evacuation Procedure

In the event of an emergency requiring evacuation:Staff will alert all persons in the studio verbally or by bell/alarm.Staff will direct students and visitors to exit the building safely via the nearest designated exit, following the evacuation plan displayed on the premises.All persons will assemble at the designated meeting point in the studio car park, or another safe location if required.Teachers will account for all students in their class.Parents/guardians will be contacted once students have been safely evacuated.All persons must follow staff instructions during an evacuation.

10. Showcase Events Policy

For the purposes of this policy, the term ‘Showcase events’ refers to all Showcase associated events held by GLM Dance Studio, including Photo Day, Dress Rehearsal and both Showcase performances. 10.1 AttendanceAttendance at all Showcase events is mandatory for all students. Parents/guardians or students (adult students) must contact management via email at info@glmdancestudio.com as soon as possible if they/their student will be unable to attend any of these events. 10.2 CostumesAll costumes supplied by GLM Dance Studio are subject to a hire fee. Hire fees will be charged to customer accounts during Term 3. In certain instances, students may be required to provide their own costumes. In such cases, no hire fee will be applicable.Costumes are distributed to students to take home prior to the initial Showcase event of the year.Students/families hold full responsibility to care for costumes for the duration of time that they are in their possession. Costumes are to be returned to the provided costume return area at the venue immediately following the final Showcase event.Costumes are to be returned in the same condition they were received, including on the coat hangers provided if applicable. GLM staff are responsible for laundering costumes following each Showcase season.Students/families are not permitted to launder any costumes and should contact management immediately if they have any concerns whilst costumes are in their possession.10.3 FeesPayments for Showcase events are non-refundable upon receipt, even in cases of student withdrawal.An annual Showcase levy fee is charged in Term 4. This covers additional administration, staffing for events and includes a digital copy of the GLM Showcase Video for all students. The Showcase levy fee will not be refunded if a student withdraws from Showcase events subsequent to payment of the levy.An additional fee of $20 per costume will be charged for the late return of costumes. A costume is deemed late if it is returned more than 7 days after the final showcase event. An additional fee of $100 per costume will be charged for any missing costumes that are not returned within 4 weeks of the final showcase event. This includes any single piece of costumes that consist of multiple pieces, including any individual garment or accessory. 10.4 SupervisionGLM Staff hold responsibility for supervising students once they have been signed into showcase events. It is the responsibility of parents/guardians to ensure students are dropped off and registered in accordance with the procedures specific to each event. 10.5 Photo DayParents/guardians are not permitted to enter the studio premises on Photo Day. 10.6 Costume Changing Facilities Dedicated changing facilities, including changing tents, will be available at all showcase events to ensure student privacy during costume changes. GLM staff members will be available to assist students with costume changes if necessary.

11. Photography/Filming Policy

Students and parents/carers consent to GLM Dance Studio and GLM Dance Studio teachers using photos and/or videos of students for professional advertising purposes including on social media and the GLM Dance Studio website.Students and parents/carers are not permitted to video or photograph classes, students or staff at any time, unless given permission by the staff or individuals involved.If you do not wish for photographs of you/your child to be published, please inform GLM Dance Studio by emailing info@glmdancestudio.com and ensure you receive a reply. Please note: Professional photo and video footage is taken at the annual GLM Dance Studio Showcase and Photo Day. All students who participate in these events will be filmed and photographed for these purposes regardless of Photography/Social Media Policy acceptance status. This footage and photography is made available to GLM families.

12. Parking Policy

For the safety of students, staff, and visitors, all persons attending GLM Dance Studio are asked to follow these parking guidelines.Please drive carefully and be mindful of students entering and exiting the studio, particularly during class changeover times.Only park in spaces allocated for GLM Dance Studio Staff and Students.The driveway must remain clear at all times to allow safe vehicle access.GLM Dance Studio accepts no responsibility for incidents, damage, or loss occurring in the car park or surrounding areas.
